What we fix
The IT problems dental practices call us about
X-ray sensors or the intraoral camera stop working mid-appointment.
Imaging depends on the right drivers, bridges and workstation settings in every operatory. We document how each room is set up, keep it consistent through updates, and fix it fast when a sensor drops, working with your imaging vendor when needed.
The practice server is old, and you’re not sure the backups work.
Your schedule, charts and images often live on one server in a closet. We monitor it around the clock, keep tested backups on-site and off-site, and plan the replacement before it fails, not after.
You’re not sure you’ve done a HIPAA security risk analysis.
The HIPAA Security Rule requires one, and it’s easy to let slide. We run it with you, document it, fix what it finds, and repeat it on a schedule so you keep a current copy on file.
Updates and outages eat into patient time.
We patch and upgrade after hours, test practice software updates before they reach the front desk, and keep the network, Wi-Fi and phones monitored, so the day runs on the schedule, not around IT.
HIPAA
What HIPAA requires, and what we do about it
Dental practices that bill insurance electronically are covered by HIPAA. The Security Rule expects you to know where patient information lives, what could go wrong, and what you’re doing about it, in writing.
- HIPAA Security Rule risk analysis (45 CFR 164.308)
- An accurate and thorough assessment of the risks to electronic protected health information (ePHI), including charts, images and the schedule, followed by a plan to reduce those risks. Review it regularly and whenever you change systems.
- Administrative, physical and technical safeguards
- Written policies, staff training, unique logins and access controls, audit logs, backup and disaster recovery plans, and protection for ePHI on every workstation and device.
- Business associate agreements
- Vendors that create, receive, maintain or transmit ePHI for you, including your IT provider, must sign a business associate agreement (BAA).
- HIPAA Breach Notification Rule
- Breaches of unsecured patient information must be reported to affected patients without unreasonable delay and within 60 days of discovery. Breaches affecting 500 or more people must also be reported to HHS within 60 days.
This is a plain-English summary, not legal advice. HHS has also proposed updates to the Security Rule; your attorney or compliance advisor can confirm how the rules apply to your practice.

FAQ
Common questions
Do you support imaging sensors and operatory workstations?
Yes. We keep a record of how each operatory is set up, manage the workstations and drivers, and work directly with your imaging and practice software vendors when something breaks.
Should we move to cloud practice software?
It depends on your imaging, your internet connection and how many locations you have. We’ll lay out the trade-offs honestly and, if you move, plan the migration around your schedule.
We’re a single-location practice. Is this overkill?
Small practices are targeted because attackers expect weaker defenses. The basics (MFA, email protection, encryption and tested backups) cost far less than a week of closed operatories after ransomware.
How fast do you answer?
Our support line is staffed 24/7/365, and the average call reaches a real person in 22 seconds.
